General Steps
| 💡 PRO TIP: The workflows below can be accomplished with Personal Tags as well as Team Tags. The advantage of using Team Tags is that all members of your RocketReach Team Subscription can see, contribute, and take advantage of the info. |
1. Create a Team Tag
Pick a relevant, recognizable name for the Team Tag. Think about the significance of this company list and how your team will utilize it, and try to reflect that in the name.
2. Apply Team Tag to Companies
In most cases, using Upload List > Company will be the most effective way to quickly populate your list. Bonus! You can select multiple tags, including a mix of Team Tags and Personal Tags.
Alternatively, you can use Company Search to define a set of criteria or to find specific companies one at a time. From the search results, you can
3. Filter to Team Tag in Person Search
The exact method for using the Team Tags to filter searches will vary by use case; however, it's important to note that despite using Company Team Tags, they will always be used to filter Person Search.
Exclude Existing Accounts from Discovery (Suppression)
In many cases it may be practical and sensible to suppress certain companies from your team's searches. Most commonly the concern is to avoid contacting a current customer or competitor.
🏷️ Apply Company Team Tag filter as "Exclude" criteria
- Prepare a list of the companies that you will suppress/exclude from results. You could pull an account list from your CRM, ask an AI chat tool to generate a list, or simply list out your own ideas.
-
Build the list in RocketReach using Upload List to quickly process a large list. Be sure to set an appropriate Team Tag in the tag step:
💡 PRO TIP: For easy recognition, use a purpose-driven name like "Competitor Suppression" or "Exclude Current Customers" that reflects both the contents and how to use it.
- (Optional) Edit the list as needed by removing Team Tags that aren't needed from the My Companies page, or tag additional companies from the Company Search area.
-
Use the list in the "Exclude" search filter when searching for new contacts, and easily avoid employees at the tagged companies:
Assign Lists of Target Accounts (Prospecting)
Easily create clear divisions and keep users focused on their own lane by assigning companies to specific users (or sub-teams). This prevents wasting time on double work and helps you maintain a clear line of communication.
🏷️ Users apply their designated Company Team Tag
-
Create Team Tags for each of the users or groups that need to track their work (e.g. "Jamie's Clients" or "Toronto Office").
The easiest place to create many tags is from the My Companies page by clicking the "Add Tag" button in the top right. Click on the "Team" side of the toggle to activate Team Tag creation mode, then type out the tag names one at a time.
Once all the tags are made, be sure to click "Cancel" – otherwise you will accidentally apply all of those tags to all of your saved companies!
- (Optional) Pre-load tagged companies using Upload List. Keep in mind that you'll need to separate the companies and do one upload per Team Tag, but it's worth the effort because your team will immediately
-
Filter to the relevant tags. The exact method may vary depending on how your team works, but the general method will be like this --
Let's say I'm Nick, and I'm using RocketReach to find new prospects. Of course I will apply my tag to Companies that I discover and begin to work on. Additionally, in order to prevent doubling up on Companies my colleagues are already working on, I will filter to exclude any company that has already been tagged by someone else, like this:
Share and Collab on a Project List
Especially among recruiting teams or in agency work, you may want to build out a project or account list together with your teammates. When you apply a Company Tag, it will be immediately updated for all of your teammates on RocketReach, too, facilitating fast and consistent collaboration.
🏷️ Apply Company Team Tag as needed and monitor in results
- Designate a naming convention to use for all Team Tags, taking cues from how your org already refers to projects in conversation and notes. Start with a simple naming stye to make it easy for your team to build healthy habits with using tags. You can always edit tag names later if it becomes necessary to create more differentiation or to "archive" tags for completed projects.
-
Apply Team Tags as projects grow. From Company Search results, first set the appropriate Active Tag in the top right corner. Now when you click "Add Company" the Active Tag will be applied to it:
If the "Add Company" button is not available, it's because you've already saved it to My Companies. Go to the My Companies page, and use the filters to find the desired company. Click on the company to open the details panel, and now you can add or remove tags. -
View the shared list by going to Company Search and filtering with the desired Team Tag.
