How are Messages, Follow Ups, and Sequences different?

RocketReach Messages is the general umbrella term for our emailing tools. Once you connect your mailbox Follow up emails let you schedule two additional messages after an initial email. Sequences allow you to create multi-step email automation workflows with multiple follow-ups and custom timing.

All three options work together, so you can choose the right level of structure for your sales, recruiting, or business development outreach.

❓ Can I send emails to anyone?

Messages can be used to send an email to any email address that you find with RocketReach. However, only email addresses provided by RocketReach can be used with the Messages tool.

❓How many emails can I send?

Users with any paid subscription can send up to 500 emails per day. Users with our free service can send up to 5 emails per day.  Learn More

❓I want to send more than 500 emails per day.

The daily email limit within RocketReach is designed with your safety in mind, following guidelines from Google and Microsoft for sender email limits.

If you need to send more than 500 emails per day, please consider dividing that over multiple RocketReach users and multiple email mailboxes. Otherwise, you can also export your RocketReach contact data in CSV spreadsheet format for use in other external tools.

❓ Where can I see my sent emails?

The Messages > Activity page provides a history or log of all the emails you have sent using the RocketReach Messages tools. This area also shows stats on email delivery, opens, replies, etc. to help you gauge the results of emails that you've sent.

To see the actual email body content, please go to your Gmail/Outlook account and check the Sent folder.

❓ Can I send attachments?

No, Messages does not allow attaching files or embedding images.

Spam filters may block emails with attachments or images at a higher rate; to help you follow best practices for cold emails and achieve the best possible delivery rate, we omitted the ability to include attachments or images.

❓ Can I include links?

Yes, you can create hyperlink text in your email message using the 🔗 icon in the text editing tools (far right):

However, it's advised to use plain links (typed out, like https://docs.rocketreach.co/reference/people-lookup-api) whenever possible because plain links are safer for passing spam testing and getting delivered to the inbox.

❓ How can I add an "unsubscribe" link to manage opt outs?

In place of an unsubscribe link, you can add a short line at the end of your email like this:

This way recipients have an easy option to indicate their preference.

Optional:  Within RocketReach, you can apply a Tag like "opt out" to help you skip these contacts in the future.  Learn More

❓ Can I schedule emails to send later?

Yes! You can use optional follow ups to schedule emails that will automatically send either 3 days or 7 days after the first email.  Learn More

When you use Autopilot for bulk adding/selecting contacts, you can also schedule the Autopilot run & email task for a future date.  Learn More

For the most options and control, use Sequences to create a series of emails that will automatically send on a schedule that you set.  Learn More

My emails are bouncing.

Many factors can contribute to undelivered emails, and there are also "hard" and "soft" kinds of bounced emails. To improve your delivery rates and get more replies, you must investigate to understand all the reasons that are causing your emails to bounce.  Learn More

❓ How does using Messages impact sender reputation?

Sending emails with Messages is no different from sending emails directly from your Gmail/Outlook app when it comes to impact on sender reputation. From a recipient's (or recipient's server's) perspective, the email looks exactly the same.

When you connect your mailbox to RocketReach, essentially it allows us to pass along the email components (recipient, subject line, message body) to your email account (Gmail or Outlook) who handles actually sending off the email. Your authenticated user name and email address is shown to the recipient with no "Sent via [service]" or "On behalf of" tag.

This type of connection also ensures the best IP address is used, along with any DKIM and SPF records that you have configured, providing the best possible deliverability.

Whether you're using RocketReach or other tools for emailing, always be sure to follow best practices for recipient handling, content, volume, and frequency.

❓ What setup should I do before starting to send emails?

Besides connecting your RocketReach account with your mailbox, you should also verify that your mailbox itself is fully prepared to successfully send out cold emails.
