6 Steps to Maximize Email Deliverability
Strong email deliverability means your messages actually reach inboxes instead of spam folders. Poor deliverability can make even the best outreach strategy ineffective.
Our collaborators at 30 Minutes to President's Club (30MPC) recommend these six key practices that will improve your results:
1. Rotate Your Email Domains
- Don’t send hundreds of emails per day from one domain.
- Plan for about 30 emails per domain per day (plus warm‑ups).
- Keep backup domains pre-warmed in case one gets flagged.
2. Warm Up Your Inboxes
- Use an email warm-up tool (or your sales engagement platform) before you begin cold outreach.
- Warm-up period: 2 weeks, starting with 20–40 warm-up emails/day.
- After warming, begin cold outreach gradually: 25/day/domain and ramp up.
3. Send Relevant, Personal Emails
- Keep your lists clean by removing bad or inactive emails. (The perfect tool is RocketReach Verify!)
- Personalize messages using signals (recent funding, job changes, etc.) and segmentation.
- Use a conversational tone and plain-text formatting.
- Avoid links, heavy graphics, or overly templated emails. (Have you tried RocketReach Messages?)
4. Measure Results Regularly
Track key metrics and make changes if you're below standard benchmarks:
- Opens: 30% or higher
- Bounce rate: Below 5%
- Spam complaints: Below 0.3%
💡Reply rate is becoming the most reliable sign of email health.
5. Use a Quality Sales Engagement Platform
Look for features that help protect deliverability:
- Domain rotation and automated warm-up
- Delayed/scheduled sends throughout the day
- Built-in A/B testing and one-click unsubscribe
6. Get Your Technical Setup Right
Work with IT to configure:
- SPF, DKIM, and DMARC records (email authentication)
- DNS settings and CNAME tracking for better trust signals
