How to Set Up Automatic List Generation with Autopilot

Autopilot allows you to automate contact extraction from a search and continuously refresh your results over time.

Key Takeaways

  • Autopilot allows you to perform a continuous extractions of contacts, ensuring quick and efficient list generation tailored to your search parameters.
  • Exported contacts are automatically tagged with the export name, enabling seamless organization and easy filtering in the My Contacts page.
  • You are only charged credits for verified contacts, while non-verified contacts are included at no cost.
  • Additional options, such as email messaging, can be configured to automatically reach verified contacts, saving time and improving outreach efficiency.
  • For users on Unlimited Lookup Plans, Autopilot will consume Export Credits for each verified contact provided.

By setting a frequency to anything other than "Once," you can ensure your list is updated on a regular schedule to match your evolving needs. Here's a step-by-step guide to setting up automatic list generation with Autopilot:

  1. Search: Create or load your search (job title, location, etc.).
  2. Select Audience: Select the number of contacts, disable limits, and include unverified or looked-up contacts if needed.
  3. Frequency: Set to "Daily, Weekly, or Monthly" for a automatic list extraction.
  4. Name Export: Create a tag for easy filtering in My Contacts.
  5. Messages (Optional): Connect your email, select a template, and auto-send to verified contacts.
  6. Monitor: Filter tag in My Contacts or download a CSV from Autopilot Page.

Step 1: Start with Your Search

Create or load a saved search in RocketReach based on the parameters you need, such as job title, location, or industry. Ensure the search results display the contacts you want to extract.

Step 2: Set Up Your Audience

  1. Define the Number of Contacts you want to Access

    • Use the "Add Max" button to select the maximum number of contacts available in your search or up to your available credits (whichever is less).
  2. Adjust Contact Limits per Company

    • To include all relevant profiles from your search, toggle the "Limit Number of Contacts per Company" setting to Disabled. This ensures you extract all profiles without restrictions by company.
  3. Include Contacts Without Verified Data (Optional)

    • If you want to include all profiles from the search, regardless of whether the contact information is verified, check the box labeled "Include contacts without verified contact data."
    • Please note, you are only charged credits for verified contacts. Non-verified contacts will be included without consuming credits.
  4. Include Previously Looked Up Contacts (Optional)

    • To avoid excluding previously viewed contacts, check the box labeled "Include contacts that have already been looked up." This will not double-charge credits for previously accessed contacts.

Step 3: Set Frequency for Automatic Updates

  1. Select a Start Date
Choose the day you want the first run of Autopilot to begin. Hint: Consider also how this will impact repeat occurrences.

  2. Choose a Recurrence Schedule

    • In the Frequency dropdown menu, select a schedule: Daily, Weekly, or Monthly.
    • Autopilot will refresh the search on your selected schedule, extract the defined number of contacts, and add any new profiles that match your search parameters.

Step 4: Name Your Export (create a tag)

Required: Add a name that will help you remember this project and reference it later. This name will automatically create a tag for all contacts added through this Autopilot workflow, making it easy to filter and locate these contacts in your My Contacts page.

Optional: Uncheck the box if you do not want an email confirmation when the Autopilot export is finished. If you leave the box checked, an email notification will be sent to the email address registered to your RocketReach user account.

Step 5: Set Up Messages (Optional)

If you'd like to automatically send emails to the verified contacts accessed in Autopilot, you can configure Messages as part of the setup process:

  1. Connect Your Email
Ensure your email account is connected via the RocketReach Messages tool. This integration allows you to send emails directly to verified contacts accessed through Autopilot. For more details, refer to the Messages User Guide.

  2. Select a Template
Choose a previously prepared Messages Template to send automatically to all verified contacts found in each Autopilot run. (Autopilot will send emails only to A / A- grade email addresses)

💡 Pro Tip: Use recurring Autopilot to stay within the 500 emails per day limit.

Instead of extracting and emailing all 2,000 contacts at once, set Autopilot to process no more than 500 contacts per day. This ensures all contacts receive emails over multiple days without exceeding limits, keeping outreach consistent and automated.

‼️ Important Notes

  • Unlimited Lookup plan users: Autopilot will consume Export Credits for every verified contact extracted, even if your plan includes Unlimited Lookups. Monitor your Export Credits carefully when performing large projects.
  • Verified Contacts Only: You are only charged credits for contacts with verified information. You are not charged credits for contacts with only B-grade emails or no verified info.
